Villa Ninemia luxury stay
We welcome you in our stylish accommodation and ask you to inform yourself on our general terms and conditions & privacy statement.
1. GENERAL
1.1 These general terms and conditions apply to all guests of Villa Ninemia luxury stay.
1.2 When making a reservation request or booking you agree with the General terms and conditions as a guest of Villa Ninemia
1.3 The minimum stay at Villa NINEMIA for a luxury stay is 3 nights.
1.4 Check-in time is from 15 pm; check out before 11 am. Various times will be taken into consideration if possible.
Late check out is possible when there is no check in that day for the villa.
Early check in is possible when no guests stayed at the villa the night before arrival.
1.5 Please inform us upfront about your arrival time, and we will make sure that our villa management team is ready to give you a personal welcome & tour around the house. In this way, you will feel at home immediately.
1.6 Smoking is not allowed indoors and in the rooms. Outdoor smoking is allowed but please be aware that you need to respect the safety rules in the guest booklet to avoid fire.
1.7 Pets are not allowed.
1.8 Villa NINEMIA has facilities for babies and toddlers, but please inform us prior to arrival. A baby bed and baby chair can be provided free of charge.
1.9 It is not possible to add an extra bed to the room since the maximum number of guest is limited to 8. There are 8 beds available. 3 king size beds and 1 bunk bed.
1.10 Guests can park their cars in the closed private car park. Parking is always at your own risk.
1.11 Guests need to pay the tourist tax and environmental tax cash upon check out.
1.12 The owners of Villa NINEMIA can, in case of violations of the general terms and conditions and/or the house rules or in cases of inappropriate behaviour, deny or refuse guests access to the accommodation with immediate effect without further communication and giving reasons and without a refund of the accommodation expenses.
1.13 Villa NINEMIA reserves the right to change the terms and conditions. You accept and acknowledge the terms and conditions as binding in force at the moment you use the website and facilities of Villa NINEMIA.
2. RATES
2.1 The shown rates are per night for up to max 8 people.
2.2 The shown rates include the use of water, electricity, air conditioning, heating, and bath- and bed linen for normal usage. When we observe abuse, we are allowed to charge extra costs in line with average and current rates for electricity and water. Please be conscious to protect the environment and only use water and air conditioning with common sense.
2.3 The shown rates include VAT according to the then current VAT rate. If the VAT rate changes between the date of booking and the date of the supply of services, the tax legislation obliges us to apply the tax rate at the time of the supply of services or tax increase, even in the case when the previous results in an increase of the final price which was communicated to the guests at the time of the booking.
2.4 The shown rates do not include extra services. All services included in the price are clearly mentioned on the website.
2.5 There is no refund if you stay with less than 8 people. The price is per night for the villa and cannot exceed 8 people in any case.
2.6 The rates shown do not include the cost of cancellation and travel insurance.
We recommend taking cancellation and travelling insurance.
2.7 The rates shown are subject to change.
3. BOOKING AND CONFIRMATION
3.1 A reservation request or booking can be done by telephone, in writing, by e-mail or via online booking platforms.
3.2 No additional booking fees will be charged for booking a stay at Villa NINEMIA, apart from the booking fees levied by online booking platforms in case bookings are placed through them.
3.3 After receiving the booking confirmation sent by Villa NINEMIA, you are bound to pay the deposit unless a different payment policy is applied by one of the used booking platforms. The reservation is only valid if you have received a confirmation from us and the deposit or payment has been paid.
4. PAYMENT
4.1 The deposit is 25% of the total outstanding amount to be paid within 7 days of booking. In case you have provided us with your credit card details and the corresponding payment method has been selected, you permit us to charge your credit card with the deposit amount.
4.2 The outstanding amount is due to be paid 8 weeks prior to arrival, or will be automatically charged to your credit card if you have selected the corresponding payment method
4.3 With bookings within 4 weeks before arrival, the total amount has to be paid by return.
4.4 The down payment and outstanding amount must be remitted to Houben-Eeckman , IBAN BE24 0014 3572 0238
BIC-code: GEBABEBB noting your reservation number and full name.
4.5 The costs for extras that are not included must be paid in cash upon departure.
4.6 The payment for reservations made by us for sightseeing, activities and other services during your stay have to be made on departure by cash, unless stated otherwise.
4.7 For payments with credit or debit card, we will not charge an additional fee as described in the European directive
5. CANCELLATION
5.1 Cancellations will only be accepted in writing or by email quoting your name and reservation number, respecting the cancellation policy.
5.2 If the booking agreement is cancelled, the following cancellation fees will be charged:
UP TO 30 DAYS BEFORE ARRIVAL: Cancellation can be made free of charge and the paid deposit will be returned.
FROM 29 DAYS TO 14 DAYS PRIOR TO ARRIVAL: 50% of your total amount will be charged if you cancel from the 29th day (included) prior to your scheduled arrival date until the day of arrival.
FROM 13 DAYS TO 0 DAYS PRIOR TO ARRIVAL: 100% of your total amount will be charged if you cancel from the 13th day (included) prior to your scheduled arrival date until the day of arrival.
5.3 Early departure or no-show will be charged with 100% of the total of the non-used or remaining nights booked
5.4 Tourist tax & environmental taxes are not included in the rental price and shall be paid cash at the moment of check out.
5.3 We recommend purchasing cancellation and travel insurance.
6. FORCE MAJEURE
6.1 In case of force majeure, of either permanent or temporary nature, Villa NINEMIA shall be entitled to dissolve the agreement in whole or in part or temporarily suspend without the guest being able to claim performance and/or compensation. Already paid deposits will be returned. Force majeure shall include, but not exclusively; Danger of war, war, rebellion, pandemics, strikes, boycott, disturbances in the energy circuit, in traffic or transport, measures by the Government, scarcity of raw materials, natural disasters, and moreover all circumstances, extraordinary weather conditions, death of one of owners or close family members, etc. under which a total or partial performance of the agreement of the accommodation cannot be demanded in reasonableness and fairness.
7. LIABILITY
7.1 Villa NINEMIA cannot be held responsible for damage suffered by guest or third parties due to the stay in the accommodation; Guests shall indemnify Villa NINEMIA against corresponding claims. Villa NINEMIA is not responsible for disturbances in and around the accommodation, such as failures and outages of power and water facilities and installations, or untimely announced construction and/or road works in the vicinity of the accommodation. Villa NINEMIA cannot be held responsible for any damage, loss or theft of personal belongings.
7.2 Villa NINEMIA can only be held liable for damage that is due to the gross negligence of the owners.
7.3 The use of the swimming pool is at your own risk. Villa NINEMIA may not be held liable for personal injury or damage to personal belongings caused by using these facilities. Children cannot use the pool unattended. Please respect at all times the pool rules, clearly indicated next to the outdoor shower. By confirming your booking, you agree to these rules.
8. DAMAGE
8.1 Guests must behave properly and in accordance with the accommodation´s usage instructions given by the owners/ holiday team upon arrival in the guest booklet.
8.2 The main tenant is legally responsible if damage is inflicted on, or caused by, him or her and his or her fellow guests and to Villa NINEMIA goods or persons.
8.3 A damage case needs directly to be reported by the guest to the owners and the Holiday team. Repair and or replacement costs need to be paid by the guest in due time. Credit card details can be used to ensure payment before departure.
8.4 In the case of loss of keys, all resulting costs will be charged to the guest.
8.5 A loss of amenities owned by Villa NINEMIA, will be charged to the tenants. Costs can be charged to replace broken or lost amenities. This can also be done after a period of 30 days following the termination of the stay.
